Wedding-day coordinator
Keep Everyone on the Same Page on Your Wedding Day.
Give a trusted person everything they need to help run the day — and nothing they don't. The schedule, the contacts and the tasks, without your budget or guest details.
What the role includes
A restricted view, built for the day itself
Most couples hand over a printed sheet and their phone passcode. WedPlan gives helpers a proper role — with a proper boundary.
Restricted by design
A coordinator sees the running order, key supplier contacts, day tasks and notes — and nothing about your budget or your guests' personal details.
A dashboard for the day
The coordinator view is built for someone standing in a courtyard with a clipboard: what is happening, who to call, what is left to do.
Delays, tracked
When something slips, the coordinator records the delay and updates progress, so the day is re-planned with facts rather than whispered estimates.
The Master Pack, coordinator edition
A printable A4 PDF of the schedule, contacts and notes — a version of the plan they can hold, with none of the private data.
A worked scenario
14:05, and the florist is late
How a coordinator with the right access turns a wobble into a footnote.
- 1
14:05 — The florist has not arrived. The photographer is due to start family photographs with the flowers at 14:30.
- 2
The coordinator checks the key contacts from their phone and calls the florist directly — no need to interrupt the couple, who are having their portraits taken.
- 3
The florist is 25 minutes away. The coordinator records the delay against the timeline event, so the day's record shows what actually happened.
- 4
The coordinator adds a note: rearranged photographs to start with the bridal party, florist now arriving 14:30, photographs of the flowers moved to 15:10.
- 5
The running order is updated in one place, and everyone working from the app or the printed Master Pack is working from the same truth.
- 6
The couple hear about it over canapés, as an anecdote — not as a crisis at 14:05.
An illustrative scenario.
What coordinators actually need
- The running order, with times they can trust.
- Phone numbers for every supplier on the day.
- The small tasks that make a day work — buttons, speeches, the spare umbrella.
- A place to note what really happened, for the thank-you messages later.
And what they never need
- How much you paid for anything.
- Which guests declined, and why your cousin is on table four.
- Your dietary notes, your documents, your private notes.
- The ability to accidentally delete a booking.
Built on the timeline you already planned
Questions
Anything else you would like to know, you can see for yourself in the demo.
What can a coordinator NOT see?
Your budget, your payments, your guests' personal details, your documents and your notes. The role is deliberately narrow: the day, the schedule, the contacts and the tasks.
Can a coordinator change things?
A coordinator can update day-of information: timeline statuses, coordinator notes, delays and their tasks. They cannot edit your budget, guests or planning data.
How do I give someone coordinator access?
You invite them by email from your wedding members page, choosing the coordinator role. They sign in with their own account and see only the coordinator view.
Does WedPlan alert the coordinator automatically when something runs late?
No — WedPlan does not send automated real-time push notifications. The coordinator sees and updates the schedule themselves, which is exactly what a good human coordinator does better than any alert.
Can we have more than one coordinator?
Yes — a friend with the running order and a relative on supplier arrivals can share the role.
