Guest list manager

Every Wedding Guest, Beautifully Organised.

One list for everyone you are inviting — households, day and evening invitations, RSVPs, meal choices and dietary needs, all in one calm place.

What it does

A guest list that behaves like one

Spreadsheets hold names. WedPlan holds the whole picture of who is coming, and everything that depends on it.

Individual guest records

Every guest is a person, not a cell in a spreadsheet: their invitation type, RSVP, meal choice and notes in one place.

Households and families

Group guests into households with shared contact details and addresses — the way you actually think about your invites.

Filtering and searching

Find every day guest, every accepted guest, every awaiting response, or one person among two hundred, instantly.

CSV import and export

Bring a list you already have, and take your data with you whenever you want it.

A fictional example

What an organised list looks like

Five households from a fictional wedding — the kind of summary a spreadsheet makes you build, and WedPlan gives you.

An illustrative example. Every value here is a filterable field in the app.

Why details live with guests

  • Caterers ask for meal counts by dietary need — one filter answers it.
  • Evening-only guests need different information, and a different arrival time.
  • Accessibility needs belong to a person, not to a note in someone's phone.
  • When a guest changes their meal choice, it changes in one place.

The list that quietly runs the day

Guest numbers drive your catering, your venue capacity, your evening plans and your budget. Keeping one accurate list is not admin for its own sake — it is the foundation most of your other decisions stand on.

Collecting responses is the other half

Once invitations are out, the RSVP tracker takes over — secure links your guests can use to reply, with every response appearing in this same list. See how RSVP tracking works.

Questions

Anything else you would like to know, you can see for yourself in the demo.

Does WedPlan include a seating chart?

No. Seating arrangements are on your checklist, but the app does not include a drag-and-drop seating planner. If you need one, dedicated tools such as WedSeat — a separate product, with no live integration into WedPlan today — can be used alongside your exported guest list.

What is the difference between day and evening guests?

It is the standard UK structure: day guests join the ceremony and wedding breakfast, while evening guests join later. WedPlan treats these as invitation types, so you can always see and filter each group separately.

Can my partner edit the guest list too?

Yes — invite them as an editor and you share one list, rather than maintaining two that quietly disagree.

How do dietary and accessibility needs work?

Each guest has fields for dietary requirements and accessibility requirements, so caterers and venues get complete, per-person information rather than a forwarded email chain.

We already have a guest list in a spreadsheet. Do we start again?

No. Paste it in from CSV and your list is ready in seconds.
