Keeping a guest list that works
How to stay on top of your guest list
Track RSVPs properly
- Give every guest one clear RSVP status — awaiting, accepted or declined — and update it the moment a reply arrives.
- Record which invitation each response belongs to, so households are never double-counted.
- Chase outstanding RSVPs in batches a few weeks before final numbers are due to the caterer.
Avoid common organisation errors
- Keep plus-ones as their own row, not a note on someone else’s, so meal choices are never missed.
- Update the list in one place and share one copy — parallel spreadsheets drift apart.
- Note dietary and accessibility needs at the same time as the RSVP, when the guest tells you.

Questions
Anything else you would like to know, you can see for yourself in the demo.
Can I open the template in Excel?
Yes. The template is a CSV file, which Excel, Google Sheets, Numbers and LibreOffice all open directly — just make sure your spreadsheet app is set to UK date and currency formats. If you would prefer a native Excel workbook with multiple sheets, the same columns are available in the guest manager inside WedPlan, which exports CSV too.
Is any of this data real?
No. Every guest in the example rows is fictional, and the blank template contains no data at all. Your own guest list never leaves your computer unless you choose to open it in an app.
