Staying on top of the money
How to manage wedding deposits and final balances
Most supplier trouble is a date problem, not a money problem — the balance was fine, it was just due earlier than expected.
| Supplier | Total agreed | Deposit | Other payments | Balance | Final payment due |
|---|---|---|---|---|---|
| Rosewood Barn | £8,500 | £1,500 paid | £2,000 | £5,000 | 01/10/2026 |
| Fern & Fig Catering | £6,500 | £1,300 paid | — | £5,200 | 20/08/2026 |
| Hollis Photography | £1,850 | £400 paid | £450 | £1,000 | 10/09/2026 |
Fictional example data. The downloadable template calculates the remaining balance and totals automatically with spreadsheet formulas.
A simple routine
- Record the deposit and the balance the day you book, with both due dates.
- Diary each due date a week ahead — final balances are often wanted before the wedding, not after it.
- Tick off deposits as they clear, and note the payment method in case of disputes.
- Check the totals monthly: what is agreed, what is paid, what is outstanding.
Worth remembering
- A deposit usually secures the date; the balance is often payable nearer the wedding.
- Some suppliers offer instalments — ask before assuming, and get it in writing.
- Cancellations and refunds differ between businesses; keep the terms you were given.
- Keep a separate note of anything refundable, such as deposits on cancelled bookings.
