Realistic budgeting

Estimates, quotes and confirmed spending are three different things

Most budget trouble comes from treating all three as the same number. They are not.

An estimate

Your own guess, or a supplier's rough phone figure. Useful for planning, but expect it to move once real quotes arrive.

A quote

A written price for specific work on a specific date. Check how long it is valid for and what it excludes.

Confirmed spending

The price in a signed contract. This is the number your budget must eventually add up to.

Keeping the budget honest

  • Start with the total you can genuinely afford, not the total you hope to reach.
  • Keep a contingency category — real weddings almost always contain one surprising cost.
  • Update figures when quotes become bookings, not only when payments are made.
  • Record the deposit and the balance separately; the balance is the part that sneaks up on you.

What a per-guest figure is good for

  • Comparing venues and caterers on a like-for-like basis.
  • Sense-checking whether your guest list fits your budget at all.
  • Deciding where the line is between day and evening guests.

Treat it as a rough guide only — plenty of costs, like the dress or the photographer, do not change with guest numbers.

Where the free calculator stops

This calculator divides a number. It does not track the actual quotes, deposits and due dates of the suppliers you book — that is what the budget manager in WedPlan does, and it is part of why couples move from a spreadsheet to the app.

Questions

Anything else you would like to know, you can see for yourself in the demo.

Is this really free?

Yes. The calculator runs entirely in your browser, there is no sign-up, and we never ask for your email address. Nothing you type is sent to us or stored anywhere except your own browser session.

Are the starting percentages market averages?

No. They are illustrative examples that add up to 100%, shown to give you a starting point. Real couples divide their budget very differently depending on priorities — the venue share of a city wedding and a barn wedding bear little resemblance to each other.

How is this different from the WedPlan budget manager?

This calculator divides one number into categories — useful at the very start. The full budget manager records actual quotes, agreed totals, deposits, refunds, payment dates and running balances per supplier, and keeps everything up to date as bookings change. The free calculator does not do that.

Ready to track actual quotes, deposits and supplier payments?

WedPlan keeps your entire wedding budget organised — agreed totals, deposits, balances and due dates — alongside everything else on your plan.
